Have you ever wondered what our podcast workflow looks like?
Itâs not super fancy or technical!
We utilize a team to bring you weekly episodes of Duo on Air. And these are the exact steps we use to plan, record, and publish weekly episodes for you! If youâve ever considered starting a podcast of your own, we hope this BTS look helps you create your own podcast workflow!
1. Plan Recording Dates to Batch in Advance
Because there are two of us and we have little ones, we need to plan our recording dates wayyy in advance. We put the date in our calendar and block off the entire day so we can focus on knocking out as many episodes as we can.
We love treating ourselves to lunch on our recording days – one of the things our bookkeeper lets us write-off as a business expense!
2. Idea Generation
When we sit down to record, we already have our ideas and outlines ready to go. It helps the day go faster; we can record in one take because we already know what we want to talk about.
We use a super fancy word doc to track all our ideas. We have lists of future guests, ideas submitted by our audience, and topics we donât want to forget. Then we also have all our episodes outlined in this document. We usually have anywhere from 4-7 episodes outlined at a time because of how we batch record. We donât outline word for word, but try to chunk it out, which is helpful for our blog writer.
But how the heck do we come up with episode ideas? These are our favorite tools!
- Gemini and ChatGPT: Get our workbook!
- AlsoAsked, Answer the Public, and BuzzSumo are great for content like this.
- Semrush or Ubersuggest for deeper keyword or competitive research
3. Podcast Recording
Itâs time to record! We set up the âstudioâ – test mics, pull up our Google Doc, and get cozy in our comfy chairs. We record our audio and video with Tella. Itâs our favorite video tool and screen recorder software. Weâve tried a lot of tools, but Tella has everything we need.
From our outline, we divide up the talking points. Weâve both reviewed the outline at this point, so itâs really just deciding whoâs going to talk about what.
Recording 3-4 episodes feels comfortable for us to finish in one day. But one time we recorded eight in one day and we lowkey want to sit alone in silence for the rest of the day đ It kind of depends on our schedules and if we need to do anything else together that day (like some fun reels!)
Then we hit record!
4. Post-Recording and Podcast Launch Prep
This is shared with a number of people involved in our podcast workflow who help bring each episode to lifeâŚ
- Person #1: Podcast editor for audio.
- Person #2: Our internal designer helps to create the video for YouTube.
- Person #3: Our blog writer creates the show notes posted on our website every week.
- Person #4: Our right hand gal schedules and publishes the episode on our podcast hosting platform.
The goal is that after weâve recorded, we can walk away from the nitty gritty. There are a lot of moving pieces and people involved, but this process works well for us. We are grateful for the help!

5. Promoting Your Podcast
Donât forget to share the episode with your audience! We always include our new episodes in our weekly Tips and Sips newsletter. We try to post every episode on social, but we havenât found an easy editing software for social yet (send us your recs!)
Every episode is automatically distributed to our favorite platforms as long as weâve connected the RSS feed. Weâre currently on:
YouTube is manual, but itâs still a great way to share your episodes. It gives listeners a visual to your content, and itâs a super easy way to repurpose the content youâre already making!
